DOS Policy on Use of Employee Personal Vehicles
If a Vanderbilt University DoS employee uses their personal vehicle to conduct Vanderbilt DoS business, such as picking up or dropping of campus visitors at the airport, the employee bears primary responsibility for insurance. Vanderbilt University bears secondary responsibility only. Departments are encouraged to use a car service for transporting guests.
Regarding mileage reimbursement, if a Vanderbilt University DoS employee uses their personal vehicle to conduct Vanderbilt DoS business, DoS will reimburse the employee for mileage.
Supervisors should give pre-approval for any personal vehicle usage, and that usage should be monitored by supervisors for purpose, necessity and appropriateness. (7.14.15)
