Medical Records Data Transfer and Opt-Out

In October 2017, Vanderbilt University announced a new University Counseling Center (UCC) that will open in 2018 and report to the Office of the Dean of Students. Vanderbilt University’s UCC will replace Vanderbilt University Medical Center’s Psychological & Counseling Center (PCC) beginning July 1, 2018.

To facilitate the continuity of care for students currently receiving services at the PCC and who are expected to continue to receive services at the new UCC, VUMC will begin copying some student data and records from the PCC to transfer to the new UCC this spring. The data includes PCC treatment records, psychiatric and psychotherapy notes, and other mental health assessments documented by the PCC providers and staff in VUMC’s medical records system.

Beginning today, students are able to review the online Medical Records Data Transfer opt-out form that provides additional detail pertaining to the medical records transfer. Students who take no action will have their records transferred. However, students have the opportunity to opt-out of this data transfer by indicating this preference on the web form. The deadline to opt out of the records transfer is Tuesday, April 10, 2018, at 11:59 p.m.

Students who opt out of the automated records transfer will still be able to obtain their medical records from VUMC to transmit to their preferred medical provider or to the UCC at a later date by following the instructions indicated here.

Students with questions about the transfer of records or the option to opt out should contact the PCC at (615) 322-2571 before Tuesday, April 10.
