Getting Started

To work in a VUMC lab, students must identify a VUMC Faculty Mentor and receive an appointment. Each department has an administrative designee who handles the appointment process. Students may contact Amanda Cupples for additional information.

The appointment process includes:

  • Signing a confidentiality agreement, general release form, and providing emergency contact information.
  • Students also must be cleared by a VUMC background check and the Occupational Health Clinic. The VU Student Health Clinic can assist students with the paperwork. The background check and Occupational Health clearance take considerable time. Students should start the process no later than 30 days before their anticipated start date.

Once the appointment packet is complete, the student receives an appointment letter and can get started in the lab.

  • Can the VU Health Clinic submit my form?

    No, the VU Health Clinic can assist students with completing the form, but they cannot submit it.

  • Where can I submit my form?

    The VU Health Clinic can assist students with completing the form, but they cannot submit it. Students need to submit it to: https://redcap.vanderbilt.edu/surveys/?s=H4E7PX8EK9. Failure to submit the form in the appropriate location can result in appointment delays. The form and guidelines are attached to this email.

  • Will I be provided a VUMC ID?

    Yes, Students will receive a VUMC ID. Amanda Cupples will provide students with their dual ID (VU and VUMC) as part of the appointment process.

  • Will I be provided a VUMC email?

    Students do not receive an VUMC email by default. Students may use their personal or VU email address to access most systems. If the PI or mentor wants the student to have a VUMC email address, the department must pay for it.

  • Does my background check need to be notarized?

    Whether or not a background check needs to be notarized depends on where students previously lived. Students are strongly encouraged to check regulations of the states where they have previously lived.
