Position Title:  Office Clerk

Duration: January 8, 2024 thru May 1, 2024

Position Occupant Requirements: Students who will be enrolled in classes for Spring 2024 including those on Federal Work Study

Supervisor:  Tim Donahoo, Office Administrator

Locations:  In-person only; 1801 Edgehill Ave., Suite 112; Commons Center, Room 217

Must be willing to work in-person in our offices and be comfortable possibly working into the late evening (10pm). Reliable transportation is a must if you live off campus.

Our operating hours: Sundays 1-10 PM, Monday & Tuesday 3-10 PM, Wednesday & Thursday 5-10 PM

Who are we?

Writing Studio

The Writing Studio offers free and confidential writing assistance to undergraduate students, graduate students, and faculty/staff at Vanderbilt University. At the Writing Studio, clients meet with writing consultants who are trained to discuss any writing project at any point of the writing process. The mission of the Vanderbilt Writing Studio is to enhance the academic experience of undergraduate and graduate students by encouraging them to participate in regular conversations about the writing process and about their own written work.

Tutoring Services

At Vanderbilt Tutoring, students have the opportunity to meet individually or as a group with a talented staff of tutors who will help enhance their academic performance through the power of collaborative learning. Tutoring Services offers one-on-one tutoring and group learning support for many introductory and intermediate courses in chemistry (general and organic), biological sciences, mathematics, physics, economics, and neuroscience.

Job Description:

An office clerk acts as the front-desk representative of the office in our main office on Edgehill and our satellite office in the Commons Center. Clerks play an essential role in helping the Writing Studio and Tutoring Services operate in a smooth and well-organized manner and in helping us maintain a welcoming atmosphere for our clients. Clerks oversee the opening and/or closing of the office and assist clients, consultants, and tutors with their needs.

As our office consists of individuals with diverse backgrounds, potential clerks must be willing and able to work within a diverse setting and effectively communicate and collaborate with culturally and linguistically diverse students, staff, and faculty.

Potential clerks should be familiar/able to quickly familiarize themselves with Outlook and other office management software.

Job Duties:

Responsibilities include opening and/or closing the office, answering phone calls and emails, assisting clients, consultants, and tutors with their needs, and maintaining general organization of the office. Clerks usually have time to work on their own studies while at the front desk in-between assigned tasks.

  • Opening & closing Commons or Edgehill locations (providing at least some weekly availability to open and/or close a shift)
  • Managing the Writing Studio and Tutoring Services email inboxes and Slack channels
  • Taking attendance of staff during shift (in-person and online)
  • Greeting clients and maintaining a welcoming atmosphere
  • Assisting clients and consultants/tutors with questions, scheduling issues, information, etc.
  • Maintaining the organization and cleanliness of the offices
  • Communicating, as necessary, with clerks and Office Administrator working at our other locations
  • Assisting Office Administrator with tasks/projects as needed
